The Challenge

Teamshares' mission extends beyond making businesses employee-owned—we aim to democratize benefits typically reserved for corporate environments. Health insurance represents a critical yet often inaccessible benefit for small business employees nationwide. Our challenge was twofold: we needed to manage complex data for thousands of network employees while designing interfaces accessible to users with limited technical literacy, and simultaneously create a system that fulfilled our revenue diversification goals while delivering valuable coverage to employees who previously had none. This required transforming intricate insurance processes into intuitive experiences that company presidents could confidently navigate, regardless of prior healthcare administration experience.

My design approach focused on transforming a complicated and manual process into clarity through collaborative problem solving

STEP 01

Research & insights

Through in-depth interviews with 3 company presidents during the onboarding process, I identified three critical pain points: confusion around plan selection criteria, anxiety over contribution decisions, and difficulty tracking enrollment status across multiple systems.

STEP 02

This was a 2 week long research and design process so I had to make incredibly quick iterations and decisions.

  • Insurance partners needed compliance guarantees for their underwriting requirements

  • Finance leadership focused on revenue projection accuracy and billing integration

  • Company presidents prioritized simplicity and speed

  • Engineering team raised concerns about data security and system integration


I partnered closely with our director of product to facilitate cross-functional workshops that aligned stakeholders on priorities using an impact/effort framework. After identifying the most urgent user journeys, I focused on wireframing and information architecture with the director of product and the engineering team before creating interactive prototypes. This approach solidified our direction, ensured team alignment, and allowed me to rapidly test, iterate, and refine critical paths—particularly for plan selection and contribution policy management—before committing to development.

STEP 03

The implementation phase focused on creating standardized templates and documentation that eliminated previous inconsistencies.

We established clear navigation paths between administrative and president interfaces, ensuring each user type could access precisely what they needed without unnecessary complexity.

Solution

The Health Insurance Onboarding program streamlines the complex transition of newly acquired companies into Teamshares' health insurance system. By designing a standardized process and centralizing documentation, the new onboarding flow transformed a manual, potentially error-prone operation into an efficient system that allows company presidents to confidently navigate healthcare requirements and provide their employees with timely access to essential medical benefits.


While the solution dramatically improved the overall process, version 1.0 still had limitations to address in future iterations. There was considerable work remaining to merge data between systems. Company presidents still needed to update their employees' information manually because certain data points (such as gender and birthdate) were stored in other systems and couldn't be automatically imported. Although this manual data entry remained a pain point, the streamlined workflow made the overall process significantly more efficient than the previous approach.

This methodology has since been applied to other operational challenges including financial reporting, compliance management, and employee equity programs—allowing the company to standardize and streamline additional business functions while maintaining a consistent user experience.

  • Most importantly, we proved that removing barriers to healthcare access can simultaneously benefit both the business and its employees, setting a new standard for how Teamshares approaches technical innovation.
