Overview

At Teamshares, we embarked on a journey to revolutionize our approach to performance management across our network of diverse companies. This case study details our transition from a one-size-fits-all, time-consuming KPI tracking process to an efficient, insightful, and intuitive KPI Tracker integrated within TeamsharesOS.

Objective
  1. For Network Companies, it aims to leverage data-driven insights, enabling targeted performance improvements and more informed decision-making. Simultaneously.

  2. For Teamshares, the goal is to enhance portfolio management through standardized performance metrics, facilitating more effective guidance and resource allocation across the entire network.

The problem

Teamshares faced a challenge managing their diverse network of companies. They were using a one-size-fits-all approach to track performance, which wasn't effective for their varied businesses.

As they grew, their simple spreadsheet system became increasingly complex and problematic. Company presidents were overwhelmed with manual data entry and meetings, while the Teamshares team struggled with confusing color-coded tracking systems.

The main issues were:

  1. Time-consuming manual data entry prone to errors

  2. Confusing color-coding for performance tracking

  3. Scattered communications about key metrics across different platforms

  4. Generic performance metrics that didn't fit each unique business

  5. Missing data due to lack of automated reminders

Wireframing:

I worked very closely with the director of product on this project. The scope had changed many times and so I had to take the lead into steering the team right back into the right direction.

As you can see, many iterations of the flow were made! The design process is never a linear and straight forward process :)

Design Solution

Integrate a new performance management tool into TeamsharesOS (A primary tool that presidents and Teamshares employees would use) through a strategic and focused approach:

  1. Analyzed president feedback

  2. Created wireframes and sketches

  3. Developed UX flow

  4. Built and tested prototypes with key stakeholders

Strategic focus: Restaurant first

Based on our growing set of industries, I suggested we tackle the biggest industry and that is, the restaurant industry.

The main reason:

  1. Largest segment in the Teamshares' network

  2. Most standardized KPIs and systems (POS/ERP)

  3. Could serve as a blueprint for other industries

Outcomes

Rather than using existing solutions, we built a custom KPI tracker to address Teamshares' unique business model and diverse industry needs. This in-house approach ensured better system integration, data security, and portfolio management.

Accomplishments

Presidents:

  1. Reduced data entry errors

  2. Weekly dashboard access for data viewing and entry

  3. Automated reminders for timely updates

Teamshares:

  1. Real-time trend monitoring

  2. Proactive performance management

  3. Enhanced network-wide insights

Shared impact:

  1. Strengthened data-driven decision making

  2. Improved cross-team communication

  3. Created foundation for future network growth of 10,000 network companies of small businesses

The KPI Tracker transformed how Teamshares manages performance—moving from reactive to proactive management while unifying their diverse network of companies through clear, actionable data.
